Getting Started: Sending Email Campaigns

Sending Email Campaigns using Subscriber Lists

Sending emails to your contacts is easy using the Marketing Toolkit. We will walk you through this 4 step process.

Log-in to access Email Marketing

Step 1: To start, select your department app and click the Email Marketing button. There you will find your email marketing tabs.

 

Step 2: Click on the Campaign Monitor Tab.

Create a Subscriber List

You may skip this step if you’ve already created your subscriber list.

Add your contacts to create and name subscriber list.

Step 1: Click the List & subscribers tab 
Step 2: Choose and existing list or to create a new list, click the Create a new list button
Step 3: Name your list. Click Create list (or cancel)
Step 4: Click Add subscribers
Step 5: Manually add subscribers or import them from your computer.
If manually adding subscribers, use commas (,) to separate each column. For example: test@wharton.upenn.edu, Test Name, Department
If you are importing from your computer, you may use .csv or excel files. Click 
Step 6: Match the file columns with your subscriber fields. Use the drop down menu under Belongs to….

Step 7: Click Finish adding subscribers! 

Now that you have your list, you can segment this information and attach these subscribers to an email campaign.

Create an Email Campaign

You may skip this step if you’ve already created your email campaign.

A campaign is an email. There are 2 ways to create an email campaign.

  1. Copy an existing email campaign
  2. Create a new email campaign, including adding recipients and sending the email.
Copy an existing email campaign

If you already have an existing email campaign, you can copy/duplicate that email and edit it as you like.

Step 1: From the Campaigns tab, hover down to your Sent Campaigns. You may search for your sent campaigns in this section as well.

Step 2: Select and hover over a sent email campaign. Three grey icons will appear.

Step 3: Click the + to copy/duplicate the email campaign.Duplicate Email Campaign
The email campaign will be saved in your Drafts. You can click Edit to enter the subject and/or the content of the email campaign.
Step 4: Send and View Results of Email Campaign.

Copy/Duplicate an Existing Campaign

Create a new email campaign

This method will allow you to complete all of the detailed steps including creating the email, adding recipients and sending the email.

Step 1: To create a new email campaign, Click the Create a new Campaign button (right hand side of screen).Create a New Campaign button
Step 2: Enter all information needed to create the email campaign. Click 
Step 3: Choose a starting point. You may choose a template by clicking on the preview. 

Step 4: Keep the existing content? Choose to keep the existing content or start again using this template.

Step 5: You may preview the email and/ or send a test email if you wish. 
Step 6: After previewing, click   to select a Current List or manually add Names and email addresses. If manually adding names, be sure to match the Name fields with the drop down list selections. For example: Full Name, First Name, Last Name, etc.
Step 7: Review your information and click Schedule Deliver or Test Email
Step 8: When would you like to send this campaign? Choose from these selections

Send and View Results of an Email Campaign

To Send…

Step 1: From the Campaigns tab, click the name of  your draft email campaign.
Step 2: You may edit the details and continue by clicking Define recipients
Step 3: Select a Current List or Import New Contacts.

Choose a Subscriber list, then click

or Follow steps to add new subscribers

Step 4: Review your information and click Schedule Deliver or Test Email
Step 5: When would you like to send this campaign? Choose from these selections

Send it now

Schedule for a specific time

Optimize the send time

To View Results,

Click on the Campaigns tab and click on the sent email campaign. Reports on the email campaign are readily available.
